Wedding Planning Calendar

With the combined efforts from you, your wedding party and myself…

You will find worksheet to help you plan and organize the many important details that will make up your wedding, from
the budget to the guest list to the flowers and music.

Start with the time line below, and set deadlines for yourselves. If you have less than six months to plan your wedding,
don’t panic; just get started as soon as possible. And never allow the details to overshadow the joy of the event....

**Bride & Groom will**

6 -12 Months Prior To Your Wedding

The Wedding Couple should;
•        Make a preliminary budget
•        Determine size of the guest list
•        Acquire the services of a Destination Wedding Planner ( to reserve the date, time and location, transportation etc..)
•        Select your Wedding Package
•        Make your initial deposit to guarantee above details
•        Select a wedding date , location and time
•        Determine your wedding theme or style- Formal or Informal (barefoot on the beach, garden setting, etc…)
•        Compile guest list and organize addresses
•        Send out save the date cards - if using, followed by official invitation later on..
•        Determine Wedding Color
•        Order your dress , veil and accessories etc
•        Select bridal attendants, best man and ushers
•        Start a wedding website to help communicate with all your guests
•        Start planning the honeymoon

4 Months Prior to  Your Wedding

Wedding Couple should;
•        Reserve Airline Ticket, Cruise Ticket  & Accommodations
•        Select  wedding rings with fiancé, if not already done so Order Groom Attire
•        Select attendants Attire
•        Sign up for a Bridal Registry and get gifts for your honeymoon, and wedding - spa treatments, limousine, makeup,
etc
•        Order invitations and personal stationery including thank you notes.
•        Choose Wedding Favors
•        Choose gift for Wedding Party (if different from favors)
•        Mail Official Invitations to Wedding Guest (you would have discussed with them and they know that they are already
invited-the initiation is official and formal record of their invitation)
•        Create a wedding newsletter for your wedding guests describing Key West and things to do, where to stay, and if
you want to, mention where you are registered. This is a nice treat for out-of-town guests unfamiliar with Key West
and it gives you an opportunity to tell them about the block of rooms you've reserved for group discounts
•        No need for taking blood tests as this is not required in Florida

2 Months Prior to your Wedding

Wedding Couple should;
•        Discuss details of reception menus with Wedding Planner
•        Discuss details of wedding cake
•        Discuss florist detail
•        Discuss music details for ceremony and reception
•        Schedule rehearsal time if large wedding
•        Write wedding vows, if you choose, not required

1 Month Prior to your Wedding

Wedding Couple should;
•        Start writing placement cards
•        Finalize the seating for the reception as well as other details for the ceremony.
•        Finalize the music for your ceremony & reception; first dance, parent dances, and party and give information to
wedding planner
•        Write toast for reception dinner
•        Finalize final details of accommodations for wedding guest and yourself with travel agent
•        Finalize honeymoon and travel arrangements

Two Weeks Prior to you Wedding

Wedding Couple should;
•        Finalize Final guest count with Wedding Planner
•        Attend to business and legal details. Get necessary forms to change names on Social Security card, driver’s   
license, insurance and medical plans, etc.
•        Designate someone to look after your home while you are away
•        Ensure you have all your airline or cruise tickets to Key West
•        Ensure you have your wedding itinerary from your wedding planner - which includes pickup times from resort to
wedding ceremony site and reception site for wedding couple and ALL wedding guest.
•        Ensure you have the wedding rings and they fit
•        Ensure all wedding attire is picked up and fits including attendants attires
•        Find out where your guests will be staying, if you plan to deliver welcome notes or gifts to their rooms.
•        Stay calm and enjoy yourself as you anticipate the moment
•        Pack your suitcase for Key West

Now in Key West Prior to Your Wedding

•        Contact your wedding coordinator once you have checked into your hotel or resort - you would have received a  
wedding itinerary prior to your trip to Key West.
•        Your personalized wedding coordinator will meet with you once you are in Key West at your hotel or resort and you
will both go over any arrangements necessary before your wedding day.
•        Arrange for a relaxing massage before your wedding day
•        Arrange for manicure & pedicure to relax
•        Relax, you've covered everything!

~YOUR WEDDING DAY~

Your Wedding Coordinator in Key West;
•        All planning for your wedding day will take place before you arrive to Key West, the days proceeding and on the
wedding day itself.
•        Your personalized wedding coordinator will be onsite and ensure everything will run smooth for you to enjoy your
special day.
•        
Wedding Couple should;
•        Be sure to eat something. You have a big day ahead.
•        Allow yourself plenty of time to get dressed
•        Prepare for your hairdresser and makeup appointments.
•        Rest and relax with a good bath
•        Start dressing one-and-a-half hours before the ceremony.
•        If pictures are being taken before the ceremony, then have yourself and attendants ready about two hours before
the ceremony.
•        Your transportation to the wedding location will be arranged, if required and pickup time noted on your wedding
itinerary previously received.
•        Have guests seated five minutes before ceremony
•        You make your entrance……
•        Relax and let the planning take care of it self. Most of all…enjoy your day!
